Creating a direct mail letter campaign with mail merge
Before you begin you must have already created a mailing group and have contact records subscribed to it.
To create a direct mail letter:
1. Go to the CRM > mMail module.
2. Select Message > New mMail or click the New Record button. A new empty record will be created.
3. Under Type select Letter and Group.
4. Click in the Mailing Group field and select a mailing group with a Letter delivery type from the selection window. You will notice that all contacts belonging to the mailing group are now listed in the right hand side of the mMail window.
5. Complete the fields for addressee, salutation, salutation name, category and date. These fields define how you address the contact.
6. Enter a subject, message, signature and footer. Insert data tags if you require contact specific information such as the recipients name, address or perhaps other contact specific information.
To print the letter(s):
1. Select File > Print or click the Print button.
2. Select mMail / letter and choose a paper size.
2. Click Print.
3. You will see a preview of the letter. Clicking the right arrow in the book icon will display the next page(s). You may find that the preview consists of multipal pages if you have a lot of contacts subscribe to the mailing group.
4. Click continue or press the enter key.
5. If you have more that one printer, specify which one you want to use.
6. Click Print.
To mail merge the letter(s):
Rather than printing the letter(s) using Youmehub’s built in layouts you can merge the letter with a Microsoft Word template.
1. Select Message > Mail Merge and follow the on screen instructions.
2. When prompted for Microsoft Word mail merge template file select a file from the following folder: [path to documents folder]/Youmehub 3.00.01/Documents/Templates/02 mMail. |
